This Privacy Policy explains what Whitcomb Payments (“Whitcomb”, “we”, “us”) collects, how it is used, and the choices you have. It covers whitcombpayments.com — including the merchant portal, hosted checkout, and documentation — and the reporting our WordPress plugins send from a merchant’s own store.
1. Information you provide
- Applications and onboarding — business and contact details you submit in the merchant application packet (executed by e-signature) and any supporting documents you choose to include;
- Portal accounts — name, business name, email address, and a password we store only in hashed form;
- Correspondence — messages you send to our support address or through the Site.
2. Information reported by a merchant’s store
When a merchant installs a Whitcomb reporting plugin on their own WordPress store, the store sends signed reports to Whitcomb so the merchant’s desk and our staff can see the account’s activity and health. Those reports contain order records (order identifiers, amounts, currency, status, payment method, the customer name and email on the order, and item summaries) and store health signals (store URL, plugin and platform versions, and whether the store’s own payment account is accepting charges). Reports are authenticated with a per-store signature.
3. Payments made to Whitcomb
When you pay a Whitcomb application fee or invoice, the payment is processed by our PCI-certified payment partner. We receive confirmation of the payment and limited card metadata (such as brand and last four digits) for receipts and records — never the full card number.
4. Technical information
Our hosting infrastructure keeps standard server logs (IP address, user agent, pages requested) for security and operations. The Site uses essential session storage for signed-in areas. We do not run third-party advertising trackers on the Site.
5. How we use information
- Arranging and servicing placement — preparing your file, presenting it to partners, and handling underwriting questions;
- Operating the portal, desks, checkout, and integrations, including monitoring store health;
- Collecting documented fees, delivering receipts, and keeping business records;
- Support, security, fraud prevention, and meeting legal obligations.
6. When we share information
We share information with processing, banking, and funding partners as needed to place and service your account (that is the service); with providers who operate parts of our stack (e-signature, payment processing, cloud hosting, database, and email); with professional advisers; when the law requires it; and in a business transfer. We do not sell personal information.
7. Retention
We keep information for as long as the business relationship lasts and as needed afterward for legal, accounting, and record-keeping obligations, then delete or de-identify it.
8. Security
Traffic to the Site is encrypted in transit. Store reporting is signature-authenticated, staff surfaces are password- and PIN-gated, and checkout confirmation can require two-factor verification. No method of transmission or storage is completely secure, but the design principle throughout is that Whitcomb holds as little sensitive data as the service allows.
9. Your choices
Chat with us now to access, correct, or request deletion of your information (retention obligations permitting), or to opt out of non-essential email. We answer most requests the same business day.
10. Children
The Site is a business service and is not directed to anyone under 18.
11. Changes
We may update this Policy; the effective date above reflects the latest revision. Material changes will be reflected on this page.
