HOW ONBOARDING WORKS — THE ORDER▾
- They apply. The five-minute application (business type first; the low-risk types fill in the whole package). They pick no terminals — their portal says pending approval.
- Pick their terminals. On their card: tick TERMINALS (one QD2 to start; CHANGE for the models and quantities). The desk chooses, not the merchant — and terminals are never required to approve. When a merchant asks why: the terminals are part of the service — having them on the account helps lower their rate by up to 2%, so they are included as standard; the monthly amount is small, the first payment isn’t due for 45 days, and the little it costs saves them thousands over the life of the account.
- Prepare the paperwork. PREPARE THE PAPERWORK: the Merchant ID, the serial numbers, the lease details (county, business structure, ship-to), the processing pricing. It prints inside the package they sign.
- Send for final signature. SEND FOR FINAL SIGNATURE emails them; their portal opens on the package. Before or after the approval — the approval never waits on it.
- They sign once. One signature, one set of initials — placed everywhere the package calls for them. SIGNED shows on their card; Sam gets the full copy by email.
- Approve. APPROVE / RATE (with the fee link or the payment notice if a fee applies). The approval email goes out and their portal opens.
- Go-live. The GO-LIVE list and the follow-ups take it from there. A Stripe Express merchant connects their program themselves, from their portal — the account opened there, a read-only key, or the plugin on their store — and their portal asks for it before anything else. Nothing to paste on the desk.

Deals from your ISOs
Merchants an ISO submitted from its own partner desk — their application as a PDF, the owner’s driver’s license and the rate the ISO set, all on the row. The ISO’s rate is already in the rate box of every card processor: tick the processor Whitcomb is placing them on, then APPROVE (or DECLINE). The ISO has the decision in writing either way, and the merchant joins the ISO’s book the moment they are approved.

Signed and on file
Every merchant who has signed their package — when they signed it, the name they signed under, and what the lease says. The full copy, with the Social Security Number and the account number in the clear, opens with the ledger PIN and every read is logged; the merchant and the reps read the masked copy filed under that merchant’s documents. Anything the desk still owes on a signed packet — the serial numbers, which are added after the signature, and the partners’ boxes — is called out on the row.
Merchants apply online — the desk finishes the file
The application is a five-minute form at the link below — business type first, nothing to print. Nothing is approved on submit. The application lands in Awaiting approval above (on your desk and on every rep’s) with everything they told us, and the merchant’s portal says pending approval.
The merchant picks no terminals — the desk does, on their card, in this order: PICK TERMINALS → PREPARE THE PAPERWORK (the Merchant ID, the serial numbers, the lease details, the pricing) → SEND FOR FINAL SIGNATURE → they sign once. Add-on invoices
What merchants ordered from the ADD-ONS card on their portal — Apple Pay / Google Pay, Recurring Billing, Embedded Checkout, a gateway switch — and the MATCH pre-fund invoices. PAYMENT SENT means the merchant says it is on its way; nothing is switched on until you press CONFIRM RECEIPT with the money in. Confirming a Recurring Billing order switches it on for them at once; the other three are yours to set up from there.

Statement descriptors
What a merchant’s customers read on their card statement. A partner with descriptor requests ticked asks for one on a merchant of its own book; it lands here and in your email. Asking changes nothing: set it at the processor, then press APPLIED and their desk shows it on file — or DECLINE with a reason they read on their desk. ENTER ONE sets any merchant’s descriptor yourself.

Hand these out
Every rep gets a desk automatically — /portal?rep=TheirName, listed above as they are added. The standard portal access code is preset on rep desks; use “Copy the rep’s send link” below only when a merchant needs a different code. Stripe Express is the default — tick any mix of Stripe Express, Pay by Bank and Square Connect in the sender and the merchant's portal carries a guide for each (the link carries &plat=).
Executed acknowledgments
Every electronically signed document, verbatim from the signature record: who signed which version, the exact name they typed, when, and from where. The current document is versioned and fingerprinted \u2014 a signature always points at the exact words that were on the screen.

Sign-ins for your team
Everyone signs in as themselves — their own email and password, their own name on every approval and rate change. Add a person here; saving an existing email updates their password and role. A master sees everything you see; a rep gets a sales desk under their own name.
Issue a merchant’s keys
Type the business name and save: it issues their brand key and store secret and puts them live immediately — there is nothing to deploy. If the business is already on file the code attaches to that record rather than making a second one, and the card tells you which. Come back any time to read the secret again. Every merchant carries a brand code — it is what their store’s Whitcomb plugin signs its sales reports with, on any platform. TRANSACTIONS on a row shows what that store has reported in the last 30 days, split by the platform that took each payment.

Deals, and what each desk is owed
Every deal a desk earned a split on: what the merchant paid, the split, what is owed, and the Friday it is paid. Nothing here moves money — it is the record, kept where the desk can read it. Adding a deal, marking it paid, changing it or voiding it takes the ledger PIN.
Exactly what Whitcomb is making
The money Whitcomb actually holds — the same volume PAYOUTS pays merchants from — priced at each merchant’s rate, less what the rail charges us; plus the fees collected; less what the desks are owed on those deals. Read-only: nothing here moves money.

Every order whose card was taken on the pay page while the card rail could not charge it. The card sits in the vault, never here; the store was told the order is paid so it ships. CHARGE NOW runs the card the moment processing is on — the amount lands in the merchant’s balance and the store’s order is settled for real. MARK PAID is for a payment you collected another way (ledger PIN). VOID drops the card.

Balances, reserve & payout history

What each desk may board
Tick what each sales desk is allowed to onboard merchants on. The desk greys out anything you switch off, and the server refuses it even if they find a way to tick it. Tick nothing to leave a desk on Process Now by Whitcomb Payments alone — that is a complete placement, not a desk with boarding switched off. Saving needs the ledger PIN — desks can see their limits, only you can change them.
One processor, one rate, one approve
A simple desk sees only Process Now by Whitcomb Payments — no rails to compare, no free or trial approvals, no billing at approval. They type the rate, press approve, and send the lease if the merchant took terminals. One per line: their email, or the name on their desk link.
Desks that get the Leases tab
Leases are yours by default — equipment finance is a decision about Whitcomb’s own money. Put a desk here and they get the Leases tab with everything in it: the queue, terminals, the lease link, the signed state and completing the paperwork. The sealed copy of a signed packet — the full unmasked download and the send — stays on your desk behind the ledger PIN whatever is on this list, because it carries a merchant’s SSN and bank numbers. One per line: their email, their desk role, or their first name.
